Tracking and Document Collation Services

TEBA, aided by our unique infrastructure, industry knowledge, administrative capacity, well established industry relationships and comprehensive database of mineworkers, is able to provide services to provident fund administrators that significantly reduce the burden of tracing the dependants of deceased mineworkers and completing claim related documentation.

TEBA, provides services that range from the collating of documentation for the purposes of claims and other benefits to the physical tracing of recipients throughout 5 Southern African states including; South Africa, Lesotho, Swaziland, Botswana and Mozambique. By using its database of mineworkers, TEBA is able to determine the last known residential address and assign the tracing as a “case” to the TEBA office closest to the dependants. TEBA will, on instruction of the fund, commence the tracing process.

Document Collation
Our well trained staff have the appropriate set of skills and training to ensure that beneficiaries and or their families are well informed as to the document requirements for their specific claims. Taking factors such as their literacy and feelings into account and assisting them to overcome such obstacles, they ensure that the documents are filled out and submitted correctly, each time, the first time.

Physical Tracing
A wide range of tracing methods exists, of which we employ almost every alternative suited to our market and the clients we deal with. They include the following:

  • Walk in tracing. With this method of tracing we employ our infrastructure to disseminate information to potential beneficiaries in and around our offices in their rural communities. Beneficiaries that think they might have a claim, turn up at their local offices, TEBA checks whether or not they do have a claim, and upon confirmation proceed by assisting with their document collation.
  • Field tracing. Physical tracing involves our employees; tracking the whereabouts of beneficiaries via our TEBA Personnel System (TPS), getting into appropriate vehicles and going to do the physical tracing in the beneficiaries’ community.
